Same file, same printer, but different results.
You ordered five thousand brochures in March, and they looked right. In September, you reordered the same brochures from the identical file. However, the blue on the cover is slightly off. It's not drastically wrong, but it's noticeable enough that anyone holding both copies can see the difference, and it's significant enough that a brand manager would likely raise concerns.
This happens more often than most people expect, and it is rarely due to carelessness. Print color is the result of a chain of variables, and several of these variables change between one print run and the next. Understanding which variables fluctuate and which remain constant is the key difference between accepting unpredictable variations and effectively controlling them.
What actually changes between two runs
Paper
The single biggest factor is paper. It is the base for your ink, but it is not a constant. Different batches from various mills can vary slightly in whiteness, brightness, and coating. Uncoated stock absorbs ink, producing a softer, darker result compared to coated stock, which holds ink on the surface. A brightening agent in one batch and slightly less of it in another can shift every color on the sheet a little cooler or warmer.
If your reprint went onto a different stock, or even the same named stock from a different batch, that alone explains most visible differences. The relationship between stock and result is covered further in the guidance under general printing guides.
Process
Digital and offset presses lay down colour differently. Offset uses ink and plates, digital uses toner or liquid ink and no plates. Both can produce excellent work, but they do not produce identical colour from the same file. A short reprint that was economical to run digitally will not match an original long run printed offset, and no amount of adjustment makes them the same. Machine condition and calibration
Presses are calibrated to a standard, but factors such as ink density, plate wear, roller pressure, temperature, and humidity all fluctuate within tolerance throughout a working day. A well-run shop maintains these fluctuations within a narrow band, although this does not eliminate the variations entirely. These variations are inherent to the physical processes involved in printing.
The file itself
Before blaming the press, it's worth checking a few things. If someone re-exported the artwork with a different color profile, or opened and resaved an image, or replaced a logo with a version from a different source, the file is no longer the same file. It's important to compare the PDFs rather than making assumptions.
Why your screen is not the reference
A monitor emits light by mixing red, green, and blue. Paper, on the other hand, reflects light and uses cyan, magenta, yellow, and black. These methods produce different ranges of colour, and some vivid screen colours simply cannot be reproduced in process inks at all. Bright oranges, deep blues, and saturated greens are the usual casualties.
This is not a fault to be corrected, it is a property of the two media. The practical consequence is that "it does not match my screen" is not a useful reference point unless the screen is calibrated and viewed under controlled light. How to pin colour down
Consistency is achievable, but it requires committing to specific details rather than relying on hope.
Specify a spot color for brand elements.
A spot colour is a pre-mixed ink that matches a defined reference, rather than being created from a combination of four process inks. Because it is mixed to a specific recipe, it reproduces much more consistently across different runs, presses, and even printers. This is why brand guidelines often specify the use of a particular spot colour.
The cost involves an additional ink unit, making it most suitable for jobs where the brand color matters: such as packaging, letterheads, and covers. Conversely, for a full-color brochure with photography, adding a spot color for a single logo might not be cost-effective. In such cases, a well-controlled process build would be the practical solution.
Keep a signed reference sheet
Request a printed sheet from the original run, sign and date it, and store it in a place where it won't fade. When reordering, return this sheet along with the job order to ensure accuracy. A physical reference is the only unambiguous instruction available, as it eliminates any questions related to screens, profiles, and interpretation.
Store it flat, out of direct sunlight, in a folder. Prints can fade, and a reference that has been sitting on a windowsill for a year may be less useful than none.
Lock the specification, not just the file.
Include the full specification along with the artwork to ensure that a reorder does not require a new set of decisions.
- Exact paper name, weight and finish, not just "gloss 250"
- Print process used, digital or offset
- Any spot colours by reference
- The application of either a coating or a lamination can shift the apparent color.
- The job number of the original run
That last item does more work than the rest combined. With a job number, a printer can retrieve the original settings instead of reconstructing them.
Understand that lamination can change the color.
This surprises many people. Gloss lamination deepens and saturates colors noticeably. Matte lamination, on the other hand, lightens and softens colors, potentially diminishing the vibrancy of dark hues like blue. If your original print was laminated and your reprint was not, the noticeable difference you are seeing may have nothing to do with the ink at all.
Judging a match fairly
When comparing two batches, do it properly or the comparison will not be worth much.
- Use neutral daylight, avoiding office fluorescent lights and sunset window light.
- Lay both sheets flat side by side, with their edges touching.
- Compare the same element in both, rather than the overall impression.
- Check if both have the same finish and the same stock.
- View from a normal reading distance rather than at arm's length.
Two colors can appear identical under one light source but clearly different under another. This effect is real and has a name. It is why lighting conditions are an essential part of any serious color comparison.
